Find the work to hand off
Map repeatable work, choose a useful first workflow and make the handover clear.
Choose work you can check.
Start with one task that repeats. You need clear inputs, a useful result and someone who can review it.
1. Record a normal week
List the task, number of items and active minutes. Include checking, corrections and chasing details. Record waiting time separately.
2. Pick a small handover
Choose one complete output: an enquiry summary, reply draft or checked report. Avoid a vague brief such as “handle the admin”. Keep high-risk decisions with a person.
3. Name the reviewer
Write down who checks the result, who covers their absence and when the work must pause. Decide how the team continues manually.
4. Compare like with like
Measure a trial with similar volume and complexity. Include review, repairs and exceptions. Keep setup time separate. A result from one week is not a promise about the next.
Your worksheet
- Task, week and volume
- Active minutes, including review
- Trigger and source records
- Finished output and reviewer
- Missing details and manual fallback
- Trial result and next decision
Use task names, source IDs and invented examples. Keep credentials and private customer records out of shared worksheets.
Before discovery
Bring a task log and a safe example. If access, permissions or the consequences of mistakes are unclear, settle those before a trial.
Take the worksheet with you.
