Handle enquiries with reviewed reply drafts
Turn a new enquiry into a useful reply draft that a named person can check and send.
Prepare a reply, not a promise.
Start with one channel and one service. An AI agent drafts from agreed facts. A named person checks and sends the reply.
1. Keep the original
Record the enquiry ID, channel and time. Check for an existing conversation. Do not merge people because their names look alike.
2. Use approved facts
Use the agreed source for scope, opening hours, locations and prices. Keep the version or checked date. Flag missing or conflicting facts.
3. Make the draft useful
Answer the actual question. Ask only for the missing detail needed next. Leave out unnecessary personal information.
4. Make review easy
Show the original, draft, gaps and escalation reason together. Keep internal notes outside the customer message. Mark it Ready for review or Needs owner input.
5. Record the decision
The reviewer accepts, edits, returns or pauses the draft. Only an authorised person sends it. Keep who sent what, when and through which channel. Rejected work stays open with a next owner.
