Prepare follow ups from agreed notes
Turn agreed meeting or call notes into a follow up draft with clear actions, owners and unresolved points.
Follow up on what was agreed.
Use agreed meeting or call notes to draft decisions, actions and questions. A person checks the draft before any message or task is created.
1. Check the source
Keep the meeting date, notes link, version and who agreed them. If a transcript and notes conflict, ask the meeting owner.
2. Separate decisions from suggestions
A possible action is not a commitment. Keep confirmed decisions, suggestions and open questions separate.
3. Build the action list
For each action, record the task, owner, agreed due date and source location. Write Not agreed if an owner or date is missing. Do not infer one from a job title.
4. Review before sending
Put decisions first, then actions and questions. Keep internal comments out of the message. The approver checks the draft against the source and records edits. Sending or creating tasks needs separate authority.
